# Metabase alternatives for teams without a database or a data team (2026)

Someone told you to try Metabase, maybe a colleague, maybe an AI assistant. It looks right: clean dashboards, a free open source edition, no cap on users. Then setup asks for a database, and your numbers live in a Google Sheet and a folder of CSV exports.

If you run operations or projects at a 5 to 30 person company with no data engineer, 4 questions decide the fit: do you need a database, who hosts it, what it costs for your team, and what fits if your data lives in spreadsheets. This guide answers each from Metabase's own pricing and docs, then compares 6 alternatives, as of October 29, 2026.

## Do you need a database to use Metabase?

On a server you run, yes. On Metabase Cloud, not if you add Cloud Storage. Metabase is built to query databases: the open source edition connects to more than 20 data sources, including PostgreSQL, MySQL, BigQuery and Snowflake, and on first start it asks you to connect one.

For spreadsheets, the conditions depend on where Metabase runs:

- **On Metabase Cloud,** the Cloud Storage add-on is meant for teams with spreadsheets and no data warehouse. You upload .csv or .tsv files, or sync a single Google Sheet or Drive folder every 15 minutes. The first 1 million stored rows are free, and more storage starts at $2 per million rows.
- **On a server you run,** an admin first connects a database that supports uploads (PostgreSQL, MySQL, Snowflake, Redshift or ClickHouse Cloud) through an account with write access. Google Sheets sync is Cloud only.

Each CSV can be up to 50 MB, and Metabase tells you to download an Excel or Google spreadsheet as .csv first. Its docs call uploads best suited for ad hoc analysis and recommend loading regularly updated data into a database. For a weekly export, you can append a file with the same columns in the same order, or replace the data. Appending keeps duplicate rows, so a row in 2 overlapping exports is stored twice, a common reason [dashboard numbers don't match](/resources/why-dashboard-numbers-dont-match).

## Who hosts the free open source edition?

You do. The open source edition is free under the AGPL license, with unlimited users, and a single Docker command starts it on your computer or server. Support comes from the community forums.

Keeping it running for a team takes more. Metabase stores its own questions, dashboards and users in an application database. The quick start uses a built-in H2 file, which suits demos and trials, and Metabase's production guide warns that H2 isn't meant for production and will eventually become corrupted. Metabase recommends:

- A dedicated PostgreSQL database for that application data, backed up daily.
- A server with at least 1 core and 1 GB of RAM, ideally behind a load balancer.
- Planned upgrades: pin an exact version and upgrade on purpose.

Metabase's Cloud vs self-hosting page gives ballpark monthly prices for a comparable production setup: about $48 for servers, $12 for a load balancer, $40 to $60 for a managed database and $12 for an email server. That's $112 a month or more before anyone's time, with upgrades, backups, monitoring and SSL certificates handled by hand. Metabase notes that an experienced admin can price a cheaper setup, without managed services or official support.

## What does Metabase Cloud cost for a team of 10?

Metabase counts everyone who signs in as a billed user. Prices as of October 29, 2026, in US dollars, before taxes:

| Plan | Monthly billing | Yearly billing | Users included | Each extra user |
|---|---|---|---|---|
| Open source | Free | Free | Unlimited | Free |
| Starter | $100/mo | $1,080/yr | 5 | $6/mo or $65/yr |
| Pro | $575/mo | $6,210/yr | 10 | $12/mo or $130/yr |
| Enterprise | Custom | From $20,000/yr | Custom | Custom |

Starter is the open source feature set with hosting handled: Metabase runs the server, uptime, backups and upgrades. Pro adds features such as SSO and row and column permissions. Both start with a 14-day free trial, and Metabase charges your card when it ends.

For 10 people on Starter, that's $100 plus 5 extra users at $6, or $130 a month on monthly billing. Billed yearly, it's $1,080 plus 5 × $65, or $1,405 a year. Pro includes 10 users for $575 a month, so at 10 people you'd pick it for its features, not its seats.

Seats also decide who can check a number. Click an aggregated value and choose View these records to see the rows behind it. That works on questions built with the query builder, not native SQL, and needs permission to create queries on the underlying data. Public embeds have no drill-through.

## Which alternatives fit when your numbers live in spreadsheets?

Say your team has 10 people, 2 who build and 8 who read, and Monday's numbers come from 2 exports: 4,812 order rows and 1,284 support tickets. Here's one month at list prices as of October 29, 2026, billed as each page states, and what someone sets up first.

| Option | 10 people/month | Data from | Hosted by | First setup |
|---|---|---|---|---|
| Metabase open source | $0 + your server | A database you connect | You | Server and Postgres |
| Metabase Starter | $130, monthly | Database, CSV, Sheets | Metabase | Add Cloud Storage |
| Google Sheets | $0 | Excel, CSV imports | Google | Import, build pivots |
| Google Data Studio | $0 | Sheets, CSV, Excel | Google | Connect or upload |
| Zoho Analytics | $75.20, yearly | Files, apps, databases | Zoho | Import files |
| Preset | $200, yearly | SQL database or CSV | Preset | Connect or upload |
| Power BI Pro | $140, yearly | Excel files, connectors | Microsoft | Upload Excel, build |
| Every Number | $0 for 30 days | Excel or CSV exports | Every Number | Upload the export |

Zoho's figure is Basic at $24 plus 8 extra users at $6.40, billed yearly ($94 on monthly billing). Preset's free Starter plan stops at 5 users, so 10 people need Professional at $20 each. The team's 6,096 rows sit far inside Metabase's free million stored rows and Zoho Basic's 0.5 million. Trials shift the first month: 14 days free on Metabase Starter and Preset Professional, 15 on Zoho, and 30 for Every Number teams. Zoho and Every Number ask for no card.

### Already using Google: Sheets or Data Studio

**Google Sheets** works for anyone with a Google Account and imports .xlsx, .csv and .tsv files. In a pivot table, click Edit, then double-click a value, and Sheets opens a new sheet with that cell's source rows. It suits 1 or 2 exports and readers happy in a spreadsheet.

**Google's Data Studio**, called Looker Studio until April 2026, is free for creators and report viewers, and Pro is $9 per user per project per month. It connects to Google Sheets, takes CSV uploads at no charge, and takes Excel files up to 100 MB. New CSV files append to a dataset without removing duplicates. While editing a report, Show underlying data lists a chart's data, 25 rows per page. See our [Looker Studio alternatives](/resources/looker-studio-alternatives).

### A BI tool that imports files: Zoho Analytics

Zoho Analytics has a Free plan for 2 users and 10,000 rows. Basic is $24 a month billed annually ($30 monthly) for 2 users and 0.5 million rows. It imports CSV and Excel files up to 100 MB or 1 million rows each, and Zoho lists syncing from cloud drives such as Google Drive. Files imported from your computer can't refresh on a schedule. Click a chart point and View Underlying Data opens its rows in a pop-up table.

### Superset without a server: Preset

Preset is a fully managed, cloud-hosted service for Apache Superset. Starter is free for up to 5 users, and Professional is $20 per user per month billed annually ($25 monthly). Like Metabase, it expects connected databases, though creators can build charts from CSV files first. Drill to detail shows the data behind a chart, 50 rows per page, for the Viewer role and above.

### Already using Microsoft 365: Power BI

Power BI Pro is $14 per user per month, paid yearly, and only Pro users can open other Pro users' content unless it sits in Premium capacity. You can upload an Excel file in the browser and build a report on it, while Power BI Desktop needs Windows 10 or later. Our [Power BI alternatives](/resources/power-bi-alternatives) guide covers the Mac side.

## Where does Every Number fit?

Every Number, which publishes this guide, fits teams whose numbers live in exports and spreadsheets and who don't want to run a database or a server. You upload an Excel or CSV export, up to 10 MB. Fixed rules, not AI, lay out the first screen from your columns, and a database counts every number. Every number opens its receipt: the definition, the rows it used, and the rows it left out. Read-only share links can carry an end date.

Drop a file at [everynumber.app/try](/try) with no account and see the dashboard in seconds. Unless you save it, it's deleted after 24 hours. Teams that sign up are free for 30 days with no card. Planned prices are Solo at $29 a month and Team at $99 a month for up to 5 people, and nothing is billed yet. The [$99 pilot](/pilot) delivers a dashboard built by a person in 5 business days. The [export guides](/exports) show where to download the file from 38 tools.

It isn't a fit for querying a live production database or joining many sources. If your data already sits in PostgreSQL or Snowflake, Metabase is built for that. Every Number has no live connectors and pulls nothing on a schedule, so each new export means a new upload. It's also new: open to everyone since October 25, 2026, with no customers to point to and no certifications such as SOC 2. If your company requires SOC 2, Metabase's pricing page lists SOC 2 Type II.

## Frequently asked questions

### Is Metabase free?

The open source edition is free under the AGPL license with unlimited users, but you host it and connect it to a database. Metabase Cloud starts with Starter at $100 a month, or $1,080 a year, with 5 users included and a 14-day free trial.

### Can Metabase use Excel files or Google Sheets?

Uploads take CSV files (Cloud Storage also takes TSV), so Metabase suggests downloading Excel or Google spreadsheets as CSV. With the Cloud Storage add-on, Metabase Cloud can also sync a single Google Sheet or Drive folder every 15 minutes.

### What's the cheapest Metabase alternative for a small team?

Google Sheets and Data Studio add no license cost. Preset's Starter plan is free for up to 5 users, and Zoho Analytics is free for 2 users and 10,000 rows. Every Number is free to try with your own file.

### Can Every Number connect to my database like Metabase?

No. Every Number has no live connectors. You upload Excel or CSV exports up to 10 MB, and nothing is pulled on a schedule. If you want to query a database live, Metabase fits better.
