Short answer
Power BI Desktop is Windows only, and every reader needs a paid license, such as Pro at $14 per user per month paid yearly, unless your company has Premium or Fabric F64 capacity. A team of 7 pays $98 a month on Pro. Data Studio and Google Sheets cost nothing extra; Tableau and Excel have Mac apps.
Someone said to just use Power BI. You open the download page on your Mac and learn that Power BI Desktop, Microsoft's free app for building models and reports, needs Windows. Then you find out that each of the 6 people who should read the report needs a license too.
Power BI fits companies on Windows with someone to own the data model. If you're 3 to 15 people with no data team, half of you on Macs, price the same job elsewhere first.
This guide follows one hypothetical team: 1 person who builds the weekly dashboard and 6 who read it. Prices are in US dollars, from each vendor's official pages as of October 29, 2026.
Can you use Power BI on a Mac?
Partly. Microsoft lists Windows 10 or Windows Server 2016 or later as the minimum for Power BI Desktop.
The browser side, the Power BI service, supports the latest Safari on a Mac. There you can upload an Excel file, which becomes a semantic model, and build a report on it. Microsoft also documents editing semantic models in the browser, with Power Query, relationships and DAX measures, and lists some gaps compared with Desktop. Power BI's default fonts may be missing on a Mac, so a report can look different there.
If you need Desktop itself, Microsoft fully supports it on Windows 365 and Azure Virtual Desktop, and its Windows App reaches Windows 365 from macOS. The cheapest Windows 365 Business plan listed is $36 per user per month, billed as a monthly subscription.
What does Power BI cost for 1 builder and 6 readers?
With a free account you can build reports, but only for yourself.
Power BI Pro is $14 per user per month, paid yearly. Readers need it too. Microsoft's license guide says content a Pro user shares can be opened only by other Pro users, unless the workspace is on Premium capacity. So the team pays 7 × $14 = $98 a month, or $1,176 a year. If the builder works from a Mac through Windows 365, add $36, for $134 a month.
Premium Per User is $24 per user per month, paid yearly, and PPU content can be shared only with other PPU users. The same team would pay 7 × $24 = $168 a month.
Readers can use free accounts when the content sits in a workspace on Premium capacity or Fabric F64 or larger, and the people who publish still need Pro or PPU. If your company has Microsoft 365 E5 or Office 365 E5, Pro is already included.
The license is only part of the cost. A Power BI report sits on a semantic model: tables loaded and shaped with Power Query, relationships between them, and measures written in DAX. Someone has to learn to build that and keep it working.
How do the alternatives compare for the same team?
Monthly cost for 1 builder and 6 readers, as of October 29, 2026, with billing as each page states it. "Runs on" is where the builder works.
| Option | Runs on | Team of 7 | How it adds up |
|---|---|---|---|
| Power BI Pro | Windows app, browser | $98/mo | 7 × $14, paid yearly |
| Power BI on Windows 365 | Cloud PC from a Mac | $134/mo | $98 + one $36 Cloud PC |
| Tableau | Mac or PC app, browser | $165/mo | $75 + 6 × $15, annually |
| Metabase Starter | Browser | $112/mo | $100 + 2 × $6, monthly |
| Zoho Analytics | Browser | $56/mo | $24 + 5 × $6.40, yearly |
| Excel | Mac or PC app, browser | $0 extra | Part of Microsoft 365 |
| Data Studio | Browser | $0 | No-cost tool |
| Google Sheets | Browser | $0 | Any Google Account |
| Every Number | Browser | Free for 30 days | Planned: Solo $29, Team $99 |
Of these, only Power BI Desktop needs Windows. Tableau and Excel have native Mac apps, and the rest run in a browser.
Metabase Starter billed yearly is $1,080 plus $65 per extra user, or $1,210 a year for 7 people. Zoho Basic and its extra users, $6.40 a month each, are billed yearly ($8 each on monthly billing). The Excel and Sheets rows assume your team already has Microsoft 365 or Google Accounts.
Which alternative fits your team?
Start from the tools you already use. Still deciding between a spreadsheet and a BI tool? Spreadsheet vs BI tool vs done-for-you compares the three routes.
Already paying for Microsoft 365: Excel for Mac
Microsoft 365 Business Standard includes the desktop Excel app on PCs or Macs, and Business Basic includes Excel for the web. PivotTables work in Excel for Mac, and checking a number is built in: double-click a value and Excel puts the detail rows behind it on a new worksheet.
Excel for Mac includes Power Query, also called Get & Transform. Microsoft lists imports from Excel workbooks, Text/CSV, XML, JSON, SharePoint Online lists and OData, and says the Power Query Editor is generally available to Microsoft 365 subscribers on version 16.69 or later.
Excel is good for a few sources and readers who are happy to open a workbook. It's less suited when 6 people need the same view every Monday and nobody should touch the file. Say you paste this week's export into last week's workbook: the data now runs to row 2,312, but your formulas still stop at row 2,140, so 172 rows are quietly left out. Why dashboard numbers don't match walks through 9 common causes.
Working in Google Workspace: Data Studio or Google Sheets
Data Studio, which Google renamed back from Looker Studio in April 2026, is a no-cost tool. Google has tested it in Chrome, Firefox and Safari, and says viewing a report needs only a browser and an internet connection, not a Google Account. It connects to Google Sheets. While editing a report, you can right-click a chart and choose Show underlying data, 25 rows per page. Our Looker Studio alternatives guide covers it in depth.
You can create in Google Sheets with any Google Account. In a pivot table, double-click a value and Sheets builds a new sheet with the source rows behind it.
Want a full BI tool on a Mac: Tableau or Zoho Analytics
Tableau's Creator license includes Tableau Desktop and Tableau Prep Builder. Desktop installs on Windows or Mac and has run natively on Apple Silicon since the 2024.2 release. Creator is $75, Explorer $42 and Viewer $15 per user per month, billed annually, and Explorers can author in a browser. View Data shows the aggregated values behind a mark and, for single-table sources, the full data, if your permissions allow it. It suits teams ready to learn a full BI tool.
Zoho Analytics is an online BI service, and Zoho lists Safari among the browsers it tests on Mac OS. Basic is $24 a month billed annually for 2 users, 0.5 million rows and 2 business app connectors. Anyone you share with privately counts as a user. View-only seats come in packs of at least 25, at $80 a month billed yearly, so for 6 readers, extra users cost less. Click a point on a chart and View Underlying Data opens its rows in a pop-up table.
Data in a database: Metabase
Metabase's open source edition is free for unlimited users. You host it yourself with one Docker command or a Java file, then use it in a browser. Starter, hosted by Metabase, is $100 a month with 5 users included and $6 per extra user. On questions built with the query builder, you can click a value and drill through to the records behind it. That doesn't work on native SQL questions.
When Power BI is still the right call
Stay with Power BI if your builder works on Windows, if your company already has Microsoft 365 E5 or Fabric F64 capacity, or if your numbers come from several sources that need one model.
Where does Every Number fit?
Every Number, which publishes this guide, fits a narrower job: your numbers come from exports and spreadsheets, and you want a shared dashboard in a browser where each number opens its rows, without building a data model. You upload an Excel or CSV export, up to 10 MB. The first screen is laid out by fixed rules from your columns, not by AI, and a database counts every number. Every number opens its receipt: the definition, the rows it used, and the rows it left out. You share it through read-only links with an optional end date.
Drop a file at everynumber.app/try with no account and see the dashboard in seconds. Unless you save it, it's deleted after 24 hours. Teams that sign up are free for 30 days with no card, and nothing is billed yet. Planned prices are Solo at $29 a month and Team at $99 a month for up to 5 people. If you'd rather have it built, the $99 pilot delivers a dashboard built by a person in 5 business days.
It isn't a fit for joining many sources, live connections to databases, or heavy modeling, which Power BI, Tableau or Metabase handle better. It has no live connectors: you upload each new export, and nothing is pulled on a schedule. It's also new, open to everyone since October 25, 2026, with no customers to point to and no certifications such as SOC 2.
Frequently asked questions
Can you install Power BI Desktop on a Mac?
Not as a Mac app. Microsoft lists Windows 10 or Windows Server 2016 or later as the minimum. From a Mac, you can build in the Power BI service in Safari, or run Desktop on a Windows 365 Cloud PC through Microsoft's Windows App for macOS.
Can you share Power BI reports with a free account?
No. A free account is for your own reports. Sharing needs Pro or Premium Per User, and readers need a paid license too, unless the content sits in a workspace on Premium capacity or Fabric F64 or larger.
Is Power BI Pro included in Microsoft 365?
Microsoft's pricing page says Pro is included in Microsoft 365 E5 and Office 365 E5. On other plans, Microsoft's licensing docs suggest checking whether your subscription includes a Power BI license.
What's the cheapest Power BI alternative for a team of 7?
Data Studio and Google Sheets add no license cost, Excel adds none if you already pay for Microsoft 365, and Metabase's open source edition is free if you host it. Among paid plans here, Zoho Analytics Basic with 5 extra users is $56 a month billed yearly, against $98 for Power BI Pro.
Does Excel for Mac have Power Query?
Yes, for Microsoft 365 subscribers. You import through Get Data on the Data tab, and Microsoft says the Power Query Editor, where you shape the data before loading it, needs Excel for Mac version 16.69 or later.
